ADMINISTRATOR ? PART TIME

Administrator.

REPORTS TO: CEO

LOCATION: THIS POSITION IS BASED ON SITE AT CHILDREN?S GRIEF CENTRE,
WESTBOURNE, ASHBOURNE AVE, SOUTH CIRCULAR RD, LIMERICK

IN ORDER TO BE CONSIDERED FOR THIS POSITION, CANDIDATES MUST HAVE:

* Excellent IT skills, in particular a high degree of proficiency in
MS Office.
* Strong communication (written and verbal) skills and excellent
interpersonal skills.
* Proven administrative and organisational skills with the ability
to prioritise, manage and complete a variety of tasks on time and
under pressure.
* Excellent problem-solving capabilities with an aptitude for
process optimisation and improvement.
* A high level of accuracy and attention to detail.
* Capacity to deal with highly confidential information in a very
discreet manner.

OVERVIEW:

Responsible for the day-to-day organisation of the office, including
reception duties and ensuring all client records are up to date and
maintained on the database.

JOB DESCRIPTION:

GENERAL ADMINISTRATION DUTIES

* First point of contact for parents, legal guardians and service
users.
* Ensure clients & their parents are greeted in a welcoming &
friendly manner.
* Communicate with support workers and manage all client
appointments.
* Assist in the handling of the day-to-day communications in the
organisation.
* Answer calls, take messages and schedule meetings & client
appointments.
* Assign & monitor administrative & secretarial tasks to the
volunteer support workers.
* Undertake other duties as required.

MANAGEMENT OF CLIENT INFORMATION SYSTEMS ? DATABASE

* Maintain and update the client database, entering all new client
referrals.
* Maintain the waiting list and tracking client appointments.
* Run monthly reports and generating monthly & yearly client stats
report.
* Generate compliance reports for the state grant providers &
corporate donors.

BOARD OF MANAGEMENT

* Manage communications to/from board members.
* Draft, types & dispatch reports, letters, agendas of any scheduled
meetings.
* Assist in preparation the Annual Report for upload to the website.

CHARITY REGULATOR

* Maintain and update the Centre?s compliance requirements by the
Charities Regulator (CRA), participate in meeting its commitments as
outlined in the Governance Code.
* Update or amend the Centre?s Trustees/Directors and ensure all
required documentation (annual reports & compliance documents) are
updated and uploaded to the Centre?s online CRA profile.

COMMUNICATION

* Generate & collate correspondence from/to internal & external
sources.
* Handle enquiries & complaints from internal & external
stakeholders.
* Facilitate communication between media outlets/media requests
from/to the Centre and the Centre?s CEO.
* Deal with all enquiries about the Centre?s support services from
parents/guardians, medical clinicians, psychologists, social workers,
school counsellors & teachers explaining both the referral criteria &
its anticipated wait-times.
* Represent the Centre at public events & communicate the Centre?s
aims & objectives (radio interviews) via interviews &/or audio
recordings.

SOCIAL MEDIA PLATFORMS & WEBSITE CONTENT MANAGEMENT

* Update website content using Wordpress and post to the Centre?s
social media platforms including Facebook, Twitter & Instagram.

INFORMATION TECHNOLOGY

* Troubleshoot IT issues, communicating with the Centre?s IT
engineer, website developer and its database designer. Communicate any
IT issues, identify solutions and enact any recommended changes.
Communicate these updates/changes to colleagues, ensuring the smooth
operation and running of the Centre?s digital information management
systems.
